AOG urgency changes the clock not the standard
Aircraft on ground, usually shortened to AOG, describes an aircraft that cannot return to service until a technical problem is resolved. For procurement, an AOG requirement creates immediate pressure: identify eligible material, establish availability, move it across the network, complete receiving and technical acceptance, and support the maintenance plan. Every hour feels visible.
The temptation is to treat normal controls as optional. That is the wrong trade-off. A part that arrives quickly but is incorrect, unsupported, damaged, held at customs, or unacceptable for installation does not shorten the event. It restarts the sourcing cycle while adding freight, investigation, and operational cost.
Fast AOG sourcing therefore means compressing waiting time and running qualified work in parallel. It does not mean assuming interchangeability, accepting vague stock claims, relying on a document image without matching it to the item, or paying an unconfirmed beneficiary.
1 Stabilise the requirement before broadcasting it
The first minutes should produce one authoritative requirement. Record the aircraft or engine context, exact part number, description, quantity, required condition, acceptable alternatives or supersessions, modification status, life or cycle needs, shelf-life threshold, release-document expectation, trace requirement, delivery airport, required-on-site time, and named technical approver. Include photographs or troubleshooting context only when sharing them is authorised and useful.
A vague message such as “need pump urgently” invites fast but incomparable replies. A structured requirement lets sellers and agents confirm or decline against the same facts. It also prevents uncontrolled changes as messages move between shifts and organisations. If the requirement changes, issue a visible revision rather than quietly editing the original.
Engineering or another authorised technical function—not the sourcing desk—should decide whether an alternate is acceptable. Commercial similarity does not establish technical eligibility.
2 Use one response lead and parallel workstreams
Name one AOG lead to own the timeline and decision record. That person does not perform every check; they ensure that procurement, quality, engineering, logistics, finance, and maintenance work from the same requirement. Duplicate outreach, conflicting promises, and uncertain ownership waste time precisely when coordination matters most.
Run workstreams in parallel. While sourcing confirms physical availability and commercial terms, quality can define the documentary acceptance package, engineering can review proposed alternates, logistics can test routes and cut-off times, and finance can prepare controlled payment verification. Parallel work is faster than waiting for each department to finish before the next begins.
Use a simple decision log: time, source, claim, evidence received, open issue, owner, next deadline, and approval. That log supports handovers and provides an audit trail after the aircraft returns to operation.
3 Separate a stock claim from confirmed availability
“In stock” may mean owned inventory at the supplier's facility, consigned stock controlled by another party, material offered by a broker, an exchange unit subject to core terms, or a database record that has not been physically checked. Ask where the item is now, who owns or controls it, whether it is reserved, when it was last visually confirmed, and whether current photographs and identifiers can be provided.
Confirm the shipping origin rather than assuming it matches the seller's office. The origin affects collection time, export steps, dangerous-goods handling, customs, and route options. If an independent inspection is proportionate and practical, establish who can access the item and how quickly.
New and independent suppliers can solve difficult AOG events. Apply verification proportionate to the transaction rather than rejecting them automatically. Confirm the legal entity, authorised contact, inventory role, approval claims where relevant, contracting party, and payment beneficiary through reliable sources.
4 Review the offered item and records together
Compare the quotation, current photographs, identification plate, packaging, release document, trace, maintenance records, life data, modification status, and other required material as one package. Part number, serial number, description, quantity, condition, dates, and issuer details should be coherent. A discrepancy may be a correctable clerical issue, but it should be resolved in writing before the buyer relies on the package.
FAA receiving-inspection guidance is designed to help prevent unairworthy articles from entering inventory and focuses on sufficient traceability. EASA's continuing-airworthiness material similarly describes incoming physical inspection and checks against applicable maintenance data before installation. These controls remain relevant during an AOG; urgency does not turn a release document into automatic authority to install.
The buyer's authorised quality, maintenance, and technical personnel must determine which records and release documents are acceptable for the intended operation and jurisdiction.
5 Build logistics backwards from the required-on-site time
A promised ship time is not a delivery plan. Work backwards from the required-on-site time through receiving availability, final-mile delivery, customs clearance, flight arrival, airline cut-off, export processing, collection, packaging, and document preparation. Confirm time zones explicitly.
Identify the material's dimensions, weight, value, handling needs, dangerous-goods status, and temperature or shock sensitivity where applicable. Agree who books transport, who acts as exporter and importer, which Incoterm applies, who bears duties and taxes, and who monitors the shipment outside office hours. A routing option with a slightly later departure but reliable clearance may beat an earlier flight with an unrealistic connection.
Prepare a fallback before the primary route fails: alternative airport, onboard courier if appropriate and lawful, exchange source, repair option, loan, or secondary supplier. The fallback should meet the same technical and compliance requirements.
6 Keep payment controls active under pressure
AOG urgency is frequently used in social-engineering and payment fraud because teams expect exceptions and rapid approvals. Do not treat an emailed bank-detail change as verified. Confirm critical instructions through an independently obtained contact, match the beneficiary to the contracting arrangement, apply dual approval where required, and understand what recovery protection the selected payment method provides.
Document price, currency, freight, exchange or core terms, warranty, inspection rights, documentary deliverables, rejection conditions, and cancellation consequences. A high AOG price is not by itself proof of misconduct—scarcity and premium logistics have real costs—but the buyer should understand what is being purchased and who bears the risk if availability or conformity claims fail.
7 Prepare receiving before the shipment leaves
Do not wait for the courier to arrive before locating an inspector. Send the approved requirement and expected document set to the receiving team, confirm operating hours and access, and establish the quarantine and escalation process. Track transport actively and preserve handover evidence.
At receipt, check packaging and damage, reconcile identifiers, examine the required documents, and complete the organisation's physical and technical acceptance steps before installation. If something is inconsistent, segregate the item and resolve the issue through the applicable quality procedure. The aircraft's status should never pressure receiving personnel into converting an unresolved discrepancy into acceptance.

- One named AOG lead and one controlled transaction reference
- Exact part number, acceptable alternates, quantity, condition, and applicability
- Required release, trace, life, modification, and shelf-life information
- Confirmed physical stock location and evidence of current availability
- Supplier identity, authority, ownership role, and payment beneficiary checked
- Transport route, cut-off, export/customs needs, consignee, and delivery responsibility agreed
- Receiving inspection and technical acceptance team ready before arrival
After the event, review the timeline. Record which source, route, approval, handover, or communication created delay and convert the lesson into an updated contact, checklist, stock policy, or escalation rule. The best AOG capability is built between AOGs.
